Every client is assigned a dedicated executive assistant — one named point of contact who knows their preferences, their travellers and their travel policy, and handles their requirements directly, end to end. For weddings specifically, the assistant negotiates directly with hotels on the couple’s behalf and prepares written comparison reports covering available options, commercial terms and best available rates.

Room blocks

We explain guaranteed and non-guaranteed blocks, attrition clauses, cut-off and release dates, and the right room category mix for families, elders, couples and friends. A block should protect availability without leaving the couple carrying avoidable exposure.

Transfers that follow arrivals

Staggered arrivals need more than one coach. We plan airport transfers, hotel-to-venue shuttles, loops between overflow hotels and the main venue, and departure movements that respect flight times.

Venue liaison

The assigned assistant keeps the hotel and venue conversation joined up, so room counts, event timings, guest instructions and transport requirements do not drift apart.

Hotel proposal checklist

Ask for room rates and taxes; rooms and nights; food and beverage pricing; venue and setup charges; décor and AV inclusions; transfers; cancellation and attrition terms; and payment deadlines.

Start early. Decide calmly.

12–18 months

Set the destination, guest profile and likely dates. Shortlist the right hotels and understand whether the celebration needs one property or an overflow plan.

9–12 months

Compare room categories, group contract terms, venue access, food and beverage direction, and the flight patterns guests are likely to use.

6–9 months

Confirm the preferred hotel plan, build the first rooming list, and begin guest flight recommendations and arrival grouping.

3–6 months

Reconcile bookings, room categories, transfers, shuttle loops and late additions. Share practical information guests can act on.

30–60 days out

Lock names, arrival times, airport movements, overflow rooms and the final hotel instructions so the wedding weekend can run cleanly.

How early should we start?

Twelve to eighteen months is a sensible window for a popular weekend, a marquee Udaipur property or a guest list travelling from many cities. We can still help later; the available room mix may simply be narrower.

How do room blocks protect guests from rate rises?

A negotiated block holds agreed room terms for the contract period, subject to its release, payment and attrition conditions. We explain those conditions before you confirm.

What if guests book late?

We check remaining rooms, overflow hotels and transfer loops, then update the rooming list and guest instructions. Late arrivals are planned into the movement rather than left to chance.

Do we still need a wedding planner?

That depends on your celebration. We can take responsibility for hotel and travel execution, including negotiation and guest movement, whether or not you also appoint a planner for the wider event.
